Start with a trustworthy asset register
Give each skip a unique identifier and use controlled states for available, assigned, on hire, maintenance and retired assets. A total asset count is misleading when damaged or unaccounted skips are treated as dispatchable stock.

Separate use from availability
A skip on site may be productively on hire, overdue for attention or waiting for collection. A skip in the yard may be ready, reserved, damaged or blocked by incomplete records. Those distinctions guide action better than one utilisation percentage.

Review requested collections, long-running hires, skips awaiting return and assets unavailable without a clear reason. Move from each asset to the related customer and job so staff can confirm facts before scheduling work.
Exchanges need particular care because the outgoing and replacement skips must both be recorded. An incomplete exchange can make two asset states unreliable at once.
